Presented herein are the terms and conditions governing your membership with us. Please carefully review these terms to comprehend your rights and obligations as a valued member of our club.
Membership Agreement:
This document constitutes a legally binding agreement between HAITO Karate ("We", "Us", "Our") and yourself, the member ("You").
Payment Terms:
By entering this agreement, you have committed to remit the tuition fees for the services rendered, including monthly and yearly payments. Payments are processed monthly through STRIPE, acting on behalf of our club. Your signature on this agreement and the accompanying direct debit mandate form authorizes STRIPE to deduct tuition fees directly from your designated bank account according to the specified payment schedule (on the same day each month). Yearly payments can be done via STRIPE, cash or card payments or bank transfer directly to HAITO Karate.
Cancellation Policy:
Should you wish to terminate your membership, you must furnish HAITO Karate with at least one full calendar month's notice. The following steps are required:
- Notification in writing of your intent to cancel. Such notification can be directed to gabi@haitokarate.com or via text message to 07544862183.
- Upon receipt of the notice, you remain liable for the payment of tuition fees for the calendar month in which the notice is given and for the entirety of the subsequent calendar month.
Please be advised that in cases of a member's demise or permanent incapacity (as certified by a medical professional), the agreement will be promptly terminated upon submission of the requisite documentation, with no further tuition fees owing.
Refund Policy for Yearly or Monthly Fees:
Please note that tuition fees, whether paid on a yearly or monthly basis, are non-refundable. Regardless of attendance or circumstances, once payment has been made, no refunds will be issued for the current billing period. We advise all members to carefully consider their commitment before enrolling and to adhere to the cancellation policy outlined in this agreement.
Reinstatement of Membership:
If you choose to cancel your membership and later wish to rejoin, please be aware that you will be required to pay the registration fee again in addition to any applicable tuition fees. Reinstatement of membership is subject to availability and approval by HAITO Karate.
Safety and Conduct:
Our club is steadfast in its commitment to providing a secure and nurturing environment for all members. We expect adherence to the following guidelines:
- Safety: Always wear appropriate protective attire (gloves, shinpads, groin guard, chest guard, mouthguard, helmet, vest or anything else required for specific activity) and adhere to techniques instructed by the designated instructor or assistants. Any deviation from safety protocols may result in expulsion from the class to mitigate risk to yourself or others.
- Attendance: Regular attendance is imperative for progress. Please arrive punctually (ideally 10-15 minutes before the session begins) and inform the instructor beforehand if unable to attend, particularly in cases of illness or injury.
- Behavior: All members are expected to conduct themselves with respect and comply with the instructor's directives during classes. Disruptive behavior will not be tolerated and may lead to expulsion (no refunds are issued and a regular cancellation policy is applied in such situations).
It is acknowledged that participation in martial arts entails inherent risks. By enrolling in our classes, you assume full responsibility for your safety.
Equipment Maintenance:
Members are responsible for ensuring the proper maintenance and condition of any personal equipment used during training sessions. This includes but is not limited to uniforms, protective gear, and training weapons. Any equipment that is damaged or defective should be promptly replaced or repaired to prevent injury to oneself or others.
Medical Clearance:
Prior to commencing training, it is recommended that all members obtain medical clearance from a qualified healthcare professional. This is especially important for individuals with pre-existing medical conditions or those who have recently undergone medical treatment. By enrolling in our classes, you affirm that you are physically and medically fit to participate in martial arts training.
Personal Responsibility:
While HAITO Karate endeavors to provide a safe and supportive training environment, each member is ultimately responsible for their own safety and well-being. It is imperative that all participants exercise caution, follow instructions from instructors, and refrain from engaging in activities beyond their skill level or physical capabilities.
Injury and Insurance:
While every effort is made to ensure the safety of our members, it is acknowledged that participation in martial arts activities carries inherent risks, including but not limited to physical injury. HAITO Karate advises all members to obtain their own personal insurance coverage to safeguard against any potential injuries sustained during training sessions or related events. We recommend consulting with an insurance professional to acquire appropriate coverage tailored to your needs.
By enrolling in our classes, you acknowledge and accept the risks associated with martial arts training and agree to indemnify and hold harmless HAITO Karate, its instructors, staff, and affiliates from any liability arising from personal injury sustained during participation in our activities.
It is strongly advised that all members maintain current and comprehensive personal insurance coverage to mitigate potential financial burdens resulting from injuries sustained while engaged in martial arts training.
Refund and Fee Adjustment Policy:
Tuition fees are non-refundable for missed classes. However, we understand unforeseen circumstances may arise. Should a student be unable to attend classes for an extended period (3 weeks or longer) due to a certified medical condition, please contact us. We may consider adjusting fees or issuing a credit for future classes based on the circumstances. In instances of temporary injury or illness certified by a medical professional, tuition fees for the affected student will be suspended from the date of certification until the conclusion of the medically advised recovery period.

We are committed to providing assistance and ensuring your experience at HAITO Karate is exceptional. For cancellation or suspension of your agreement, please adhere to the procedures outlined in the Cancellation Policy section.
Amendments and Notification of Changes:
HAITO Karate reserves the right to amend the terms and conditions, website content, class schedules, or policies. However, transparency is paramount. Any alterations will be communicated to you via email and/or text messages and/or announced during classes. We encourage your engagement and invite you to seek clarification if any changes arise.
Confidentiality:
Members are expected to respect the privacy and confidentiality of their fellow classmates and instructors. Personal information shared within the context of training sessions or club activities should not be disclosed to third parties without explicit consent.
HAITO Karate may share personal students' information with other instructors or assistants under the following circumstances:
Instructional Purposes: Personal student information may be shared with other instructors or assistants within the club for the purpose of facilitating effective instruction and training. This may include sharing relevant details about a student's skill level, progress, medical considerations, or special needs to ensure that instructors and assistants can provide appropriate guidance and support during classes.
Class Management: Instructors and assistants may need access to personal student information to manage class attendance, track participation, or address any concerns or issues that may arise during training sessions. Sharing this information helps ensure that instructors and assistants are well-informed and equipped to provide a positive and productive learning experience for all students.
Safety and Emergency Situations: In the event of an emergency or safety-related incident during training, instructors and assistants may need access to personal student information to effectively respond to the situation and provide necessary assistance or medical attention. Sharing this information helps ensure the safety and well-being of all students involved.
Administrative Purposes: Personal student information may be shared with instructors or assistants for administrative purposes, such as scheduling, billing, or communication regarding club activities or events. This helps streamline club operations and ensures that instructors and assistants have the necessary information to fulfill their roles effectively.
Emergency Procedures:
HAITO Karate maintains emergency procedures to address situations such as accidents, injuries, or medical emergencies that may arise during training sessions or club events. All members are required to familiarize themselves with these procedures and to follow the instructions provided by instructors or staff in the event of an emergency.
Reporting Incidents:
In the event of an accident, injury, or incident occurring during training, members are required to promptly report the full details to the instructor or club management. This includes providing information about the nature of the incident, any injuries sustained, and any contributing factors. Timely reporting ensures that appropriate measures can be taken to address the situation and prevent recurrence.
Respect for Facilities:
HAITO Karate operates within various facilities, including dojo spaces, gyms, and community centers. Members are expected to treat these facilities with respect and to adhere to any rules or regulations governing their use. This includes maintaining cleanliness, avoiding damage to property, and following any specific guidelines provided by the facility management.
Safeguarding:
In compliance with safeguarding regulations in the United Kingdom, HAITO Karate is committed to ensuring the welfare and protection of all students, particularly children and vulnerable individuals, within our club environment. Personal student information may be shared with instructors or assistants solely for the purpose of safeguarding and promoting the well-being of students. This includes:
Background Checks: All instructors and assistants undergo thorough background checks to verify their suitability for working with children and vulnerable individuals. Personal student information may be shared as part of these checks to facilitate safeguarding practices.
Training and Awareness: Instructors and assistants receive training and guidance on safeguarding policies and procedures to ensure they are equipped to recognize and respond appropriately to safeguarding concerns or disclosures. Personal student information may be shared as necessary to support ongoing training and awareness efforts.
Reporting and Intervention: In the event of safeguarding concerns or disclosures, instructors and assistants are mandated to follow established reporting procedures and take appropriate steps to safeguard the welfare of the student(s) involved. Personal student information may be shared with designated safeguarding officers or authorities as required by law.
Confidentiality and Data Protection: Personal student information shared with instructors or assistants for safeguarding purposes is treated with the utmost confidentiality and is handled in accordance with data protection laws and regulations. Information is only disclosed on a need-to-know basis and is securely stored and managed to prevent unauthorized access or disclosure.
Continuous Improvement:
HAITO Karate is committed to continuously improving the quality of its programs and services. Members are encouraged to provide feedback and suggestions for improvement to help enhance their training experience. Open communication between members and club management fosters a supportive learning environment and contributes to the ongoing growth and development of the club.
Legal Considerations and Jurisdiction:
This agreement, its substance, and its establishment are governed by English law. Any disputes shall be settled in English courts. Residents of Scotland or Northern Ireland have the option to pursue proceedings in their respective jurisdictions.
Digital Acceptance and Legal Validity:
Your electronic acceptance of this agreement (e.g., via email confirmation or online platform acceptance) carries legal weight. Please ensure all information provided during the sign-up process is accurate and up-to-date. It is advisable to periodically review these terms with legal counsel to ensure their fairness, enforceability, and compliance with evolving regulations or legal standards.
